West Hampstead Removals Health and Safety Policy
West Hampstead Removals is committed to providing a safe and healthy working environment for all employees, contractors, customers and members of the public who may be affected by our removal and relocation activities. This policy sets out our approach to managing health and safety risks associated with moving, handling, transportation and related services for homes and businesses.
The management team accepts overall responsibility for health and safety, and expects every employee to play an active role in maintaining high standards of safety performance across all aspects of our operations.
Policy Aims and Objectives
The primary aims of this Health and Safety Policy are to prevent injury and ill health, protect property, and minimise disruption to our customers. We will achieve this by:
Identifying and managing risks associated with lifting, carrying, loading, unloading, driving and working at customers premises.
Providing and maintaining safe vehicles, equipment and work systems for staff involved in removals, packing and storage.
Ensuring all employees receive appropriate information, instruction, training and supervision to perform their duties safely and competently.
Promoting a positive safety culture where hazards, near misses and incidents are reported promptly and addressed effectively.
Reviewing and updating this policy and our working procedures regularly to reflect changes in legislation, industry best practice and operational experience.
Responsibilities for Health and Safety
Health and safety is a shared responsibility. Clear roles are defined as follows.
Management is responsible for providing leadership on health and safety matters, ensuring suitable risk assessments are carried out, implementing safe systems of work, allocating appropriate resources for training, equipment and maintenance, monitoring performance through inspections and incident reviews, and ensuring that this policy is communicated and understood by all staff.
Supervisors and team leaders are responsible for implementing safe working procedures on site and in vehicles, briefing staff before jobs and monitoring compliance, checking that vehicles, lifting equipment and protective gear are available and in good condition, and reporting hazards, defects, accidents and near misses to management.
Employees have a duty to take reasonable care of their own health and safety and that of others, follow instructions and training given for their safety, use vehicles, equipment and protective gear correctly, report any hazards, near misses or unsafe conditions immediately, and cooperate fully with any investigation or improvement measures.
Risk Assessment and Safe Working Practices
We carry out risk assessments for our key activities, including domestic removals, commercial moves, packing and unpacking, loading and unloading vehicles, short and long distance journeys, and handling fragile, heavy or awkward items.
For each job, a site-specific assessment will consider access routes, stairs and lifts, parking and loading restrictions, manual handling requirements, weather conditions, and any special customer requirements. The outcomes of these assessments inform our method statements and job planning.
Safe working practices include planning lifting tasks to avoid excessive strain, using appropriate equipment such as trolleys and lifting aids, ensuring clear communication within the removal team, maintaining good housekeeping to prevent slips, trips and falls, securing loads correctly within vehicles, and avoiding lone working in higher risk situations where practicable.
Manual Handling and Musculoskeletal Protection
Manual handling is a core aspect of removal work and presents significant risk if not managed properly. We will provide manual handling training to all operational staff, covering lifting techniques, team handling, use of equipment and recognition of personal limits. Staff are instructed to assess the weight, size and shape of items before moving them, request assistance when needed, and use mechanical aids when available.
We will monitor staff feedback on manual handling tasks and take reasonable steps to redesign tasks, rotate duties or introduce additional equipment to reduce the risk of musculoskeletal disorders.
Vehicles, Driving and Road Safety
Our vehicles are maintained to a high standard to ensure they are safe and roadworthy. Regular checks and servicing are carried out in line with manufacturer guidance and legal requirements. Drivers must perform basic safety checks before each journey and report any defects immediately.
Drivers are trained and instructed to comply with road traffic laws, drive at appropriate speeds, adapt to weather and road conditions, avoid unnecessary reversing and use banksmen where possible, load vehicles safely and secure goods properly, and take adequate rest breaks to avoid fatigue. Use of mobile phones or other distractions while driving is prohibited.
Working at Customers Premises
Our teams often work within customers homes and business premises. We will respect and safeguard these environments by maintaining clear walkways, using protective coverings where necessary, managing noise and disruption as far as reasonably practicable, and securing doors, gates and access points where we are responsible for them during the move.
Staff will be vigilant for hazards such as loose floor coverings, poor lighting, obstructed exits and other risks, and will take reasonable steps to reduce these or raise concerns with the customer where appropriate.
Training, Information and Supervision
We recognise that competent staff are essential for safe operations. All new employees receive induction training that covers this policy, emergency procedures, accident reporting, manual handling, vehicle safety and site conduct.
Ongoing training is provided as required, including refresher sessions, toolbox talks and updates when procedures or equipment change. Supervision levels are adjusted based on experience, with new or inexperienced staff paired with more experienced colleagues until they demonstrate competence.
Accident Reporting, Investigation and Emergency Procedures
All accidents, injuries, incidents and near misses must be reported promptly to a supervisor or manager. We keep records of such events, investigate the causes where necessary, and implement corrective actions to prevent recurrence.
Emergency procedures are in place for fire, serious injury, vehicle accidents and other foreseeable incidents. Staff are briefed on how to raise the alarm, call the emergency services, assist with evacuation where safe, and provide information to managers and authorities.
Consultation and Policy Review
We encourage open communication about health and safety issues. Employees are invited to raise concerns, suggest improvements and participate in discussions about safe working practices.
This Health and Safety Policy will be reviewed regularly and whenever there are significant changes in our operations, applicable legislation or recognised best practice. Any revisions will be communicated to all staff and, where relevant, incorporated into our job planning and day-to-day procedures.
By following this policy, West Hampstead Removals aims to provide an efficient, reliable and safe removals service for all customers while protecting the wellbeing of our workforce and the wider community.
